Woodleigh Waters Dental (“we”, “us”, “our”) is committed to protecting your privacy. This policy explains how we collect, use, store and share your personal information, including your health information. We are bound by the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and by the Health Records Act 2001 (Vic) and its Health Privacy Principles.
Woodleigh Waters Dental is operated by Dentaire Australia Pty Ltd as trustee for the R and Joey Family Trust (ABN 38 495 248 338), 137 Moondarra Drive, Berwick VIC 3806.
We collect information directly from you whenever we reasonably can, including:
Sometimes we collect information from others, such as another dentist, a specialist, your doctor, your health fund or a parent or guardian, where you have agreed or where the law allows it.
We will only use your health information for other purposes if you agree, or if the law requires or permits it.
We may send you information about our services or offers if you have agreed to receive it, or where the law permits. You can opt out at any time by using the unsubscribe link in our messages or by contacting us. We never sell your personal information.
We only share your information as needed to provide your care and run our practice, or where the law requires or permits it. This may include:
Our website uses cookies and analytics tools, such as Google Analytics and Google Tag Manager, to understand how visitors use the site. These tools collect information such as your device, browser and pages visited, but not your health information. You can control cookies through your browser settings.
If you respond to one of our ads on Facebook or Instagram by submitting a lead form, Meta passes the details you enter (such as your name, phone number and email) to us so we can contact you. Meta’s own privacy policy also applies to your use of its platforms.
Some of our service providers, including cloud software, online booking, analytics and social media platforms, may store or process information outside Australia, for example in the United States. Where this happens, we take reasonable steps to ensure your information is protected in line with Australian privacy law.
We store records electronically and, where needed, in paper form. We protect them with secure systems, password-protected access, staff confidentiality obligations and physical security at our practice. Only staff who need your information to do their job can access it.
As required by the Health Records Act 2001 (Vic), we keep health records for at least 7 years after your last visit, or for a patient under 18, until they turn 25, whichever is later. After that, records are securely destroyed.
If a data breach is likely to cause serious harm, we will notify you and the Office of the Australian Information Commissioner, as required by the Notifiable Data Breaches scheme.
You can ask to see or get a copy of your records, or ask us to correct information you believe is inaccurate. Please contact us in writing. We will respond within a reasonable time, usually within 30 days. In some cases the law allows us to refuse access, and we will explain why. We may charge a reasonable fee to cover the cost of providing copies, which we will tell you about first.
You can make general enquiries without giving your name. However, we need to identify you to provide dental treatment.
If you have a question or concern about your privacy, please contact our Practice Manager:
